This Privacy Policy applies to two categories of individuals:
- Clients: Business owners and representatives who subscribe to our services.
- Callers: Individuals who interact with our AI agents by calling, texting, or submitting webforms to our Clients' businesses. When you call a business that uses AnswerEdge, your call may be answered by our AI-powered agent.
By using our Services, visiting our Site, or interacting with our AI agents, you acknowledge that you have read and understood this Privacy Policy.
2. Information We Collect
2.1 Information from Clients
When you sign up for our services, we collect:
- Account Information: Your name, email address, phone number, business name, business address, and billing information.
- Business Information: Details about your business operations that we need to configure your AI agent, including services offered, pricing, hours of operation, service areas, scheduling preferences, staff names, and frequently asked questions.
- Payment Information: Credit card, debit card, or bank account information processed through our third-party payment processors (Stripe and Mercury). We do not store your full payment card details on our systems.
- Communications: Emails, messages, and other communications between you and AnswerEdge.
2.2 Information from Callers
When you interact with an AI agent operated by AnswerEdge on behalf of one of our Clients, we may collect:
- Contact Information: Your name, phone number, email address, and mailing address as provided during the call or message exchange.
- Call Content: The substance of your conversation with the AI agent, including the nature of your inquiry, service requests, appointment preferences, and any other information you voluntarily provide.
- Call Metadata: Date, time, and duration of the call; caller ID information; and call routing data.
- Call Recordings and Transcripts: Audio recordings and text transcripts of calls handled by our AI agents. Calls are recorded for quality assurance, service delivery, and optimization purposes. You will be notified of recording at the beginning of each call.
- SMS and Messaging Content: The content of text messages exchanged with our SMS agents.
2.3 Information Collected Automatically
When you visit our Site, we may automatically collect:
- Device and Browser Information: IP address, browser type, operating system, device identifiers, and referring URLs.
- Usage Data: Pages visited, time spent on pages, links clicked, and other interactions with our Site.

3. How We Use Information
3.1 Client Information
We use Client information to:
- Set up, configure, and maintain your AI agent.
- Process payments and manage your account.

- Monitor agent performance and optimize call handling.
- Send service-related communications (e.g., performance reports, billing notices, service updates).
- Improve our Services and develop new features.
- Comply with legal obligations.
3.2 Caller Information
We use Caller information to:
- Provide the AI receptionist service on behalf of our Client (e.g., answering your questions, scheduling appointments, collecting service request details).
- Deliver caller data and call summaries to the Client whose business you contacted.
- Push relevant information to the Client's CRM, scheduling, or business management tools through configured integrations.
- Monitor and improve the quality and accuracy of our AI agents.
- Train and refine our AI models and conversation flows (using de-identified and aggregated data only).
- Comply with legal obligations.
3.3 Important Note for Callers
When you call a business that uses AnswerEdge, your information is collected on behalf of that business (our Client). Our Client is the primary controller of your personal information for purposes related to their business relationship with you. We act as a service provider processing your information on the Client's behalf. If you have questions about how a specific business handles your information, please contact that business directly.
4. How We Share Information
We may share personal information in the following circumstances:
4.1 With Our Clients
Caller information is shared with the Client whose business you contacted. This is the core purpose of our service — to collect information from callers and deliver it to the business they called. Information shared includes caller name, phone number, reason for calling, service requests, appointment details, and call summaries.
4.2 With Service Providers and Sub-Processors
We use third-party service providers to operate our business and deliver the Services. These providers process personal information on our behalf and are contractually obligated to use it only for the purposes we specify. Our key categories of service providers include:
- AI Voice Platform Provider: The cloud-based platform that powers our AI voice agents, which processes call audio, generates agent responses, and produces call transcripts.
- Integration and Automation Tools: Platforms that connect our voice agents with Client CRM and scheduling tools (e.g., Zapier).
- Payment Processors: Stripe and Mercury for processing Client payments. These processors have their own privacy policies governing their handling of payment information.
- Cloud Hosting and Infrastructure: Providers that host our website and business systems.
- Analytics Tools: Services that help us understand how visitors use our Site.
4.3 For Legal Compliance
We may disclose personal information if required to do so by law, regulation, legal process, or governmental request, or if we believe in good faith that disclosure is necessary to: (a) comply with applicable law; (b) protect our rights, property, or safety, or the rights, property, or safety of our Clients or others; (c) prevent fraud or other illegal activity; or (d) enforce our Terms of Service.
4.4 Business Transfers
If AnswerEdge is involved in a merger, acquisition, sale of assets, or other business transfer, personal information may be transferred as part of that transaction. We will notify affected parties of any change in ownership or control of their personal information.
4.5 With Consent
We may share personal information with your consent or at your direction.
4.6 No Sale of Personal Information
AnswerEdge does not sell personal information to third parties. We do not use Caller information for our own marketing purposes or share it with third parties for their marketing purposes.
5. AI-Specific Disclosures
5.1 AI-Powered Interactions
Our AI agents use artificial intelligence and natural language processing to understand and respond to callers. When you interact with one of our agents, you are communicating with an AI system, not a human. Our agents are designed to disclose their AI nature at the beginning of each interaction.
5.2 AI Processing of Voice Data
During a call, your voice is processed in real time by our AI platform to understand your words, generate appropriate responses, and extract relevant information. Voice data is used for real-time speech recognition and response generation, call recording and transcription, quality assurance and agent performance monitoring, and service improvement. We do not use voice data to create voiceprints or biometric identifiers for identification or authentication purposes.
5.3 Automated Decision-Making
Our AI agents make automated decisions during calls, such as determining how to route a call, what information to collect, and how to respond to inquiries. These decisions are based on pre-configured rules and AI models, not on profiling of individual callers. No consequential decisions (e.g., credit, employment, insurance, housing) are made by our AI agents.
6. Data Retention
- Call Recordings: Retained for up to ninety (90) days from the date of the call, then automatically deleted, unless a Client requests earlier deletion or applicable law requires longer retention.
- Call Transcripts and Summaries: Retained for the duration of the Client's active subscription, plus ninety (90) days following termination.
- Client Account Data: Retained for the duration of the subscription, plus such additional period as necessary to comply with legal, tax, and accounting obligations.
- Website Analytics Data: Retained in accordance with the retention policies of our analytics service providers.
When data is no longer needed for the purposes described in this Privacy Policy, we will delete or de-identify it in accordance with our data retention schedule.
7. Data Security
We implement commercially reasonable security measures to protect personal information, including encryption of data in transit (TLS/SRTP for voice streams, HTTPS for web traffic), access controls and authentication for internal systems, regular review of access logs and security practices, and contractual security requirements with our service providers. Despite these measures, no system is completely secure. If we become aware of a data breach that affects your personal information, we will notify affected parties and relevant authorities as required by applicable law.
8. Your Rights and Choices
8.1 For Clients
You may:
- Access and update your account information at any time by contacting us.
- Request deletion of your account and associated data, subject to our data retention obligations.
- Opt out of non-essential marketing communications by following the unsubscribe instructions in any marketing email.
8.2 For Callers
Depending on your jurisdiction, you may have the right to:
- Know: Request information about the personal data we have collected about you.
- Access: Obtain a copy of your personal data.
- Delete: Request deletion of your personal data.
- Correct: Request correction of inaccurate personal data.
- Opt Out: Opt out of certain processing activities.

Because caller data is collected on behalf of our Clients, we may direct you to the relevant Client for certain requests.
9. State-Specific Privacy Rights
9.1 California Residents (CCPA/CPRA)
If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA). These include the right to know what personal information is collected, the right to delete personal information, the right to opt out of the sale or sharing of personal information, and the right to non-discrimination for exercising your privacy rights. AnswerEdge does not sell or share personal information as defined under the CCPA/CPRA.
9.2 Other State Privacy Laws

9.3 Illinois Biometric Information
AnswerEdge does not collect biometric identifiers or biometric information (such as voiceprints or faceprints) as defined under the Illinois Biometric Information Privacy Act (BIPA). While we process voice data during calls, we do not extract, store, or analyze biometric identifiers from voice recordings.
10. Children's Privacy
Our Services are not directed to children under the age of 13. We do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13, we will take steps to delete that information promptly.
